IFTA — Quarterly Fuel Tax
Reports fuel-use tax across the 48 states + 10 Canadian provinces for qualified vehicles that cross state lines.

Interstate carriers, qualified vehicles (>26,000 lb GVW or 3+ axles)

STEP BY STEP
- Keep trip records — miles driven in each jurisdiction (pull from your ELD/IFTA mileage report).
- Keep every fuel purchase — gallons and the jurisdiction where bought, with receipts.
- Each quarter, total your taxable miles and gallons and compute your fleet MPG.
- Log into your base state’s IFTA portal and open the quarterly return.
- Enter miles and fuel per jurisdiction — the system computes net tax due or credit.
- Pay any balance owed and save the confirmation.
- Retain all records for 4 years (IFTA audits).
If you miss it: Late penalty (typically $50 or 10% of tax) plus interest per jurisdiction; your IFTA license can be suspended.
IRP — Apportioned Registration (Plates)
One apportioned plate + cab card covering every IRP jurisdiction you run; fees split by miles per state.

STEP BY STEP
- Establish your base jurisdiction (established place of business, mileage, and records there).
- Gather actual mileage per jurisdiction for the reporting year (Jul 1–Jun 30 prior) — or estimated miles for a new fleet.
- File the IRP application with your base state (VIN, weight, ownership for each truck).
- Pay the apportioned fees.
- Receive your cab card + apportioned plate — keep the cab card in the truck.
- File a supplement to add or delete a vehicle mid-year.
- Keep mileage records at least 3 years for audit.
If you miss it: Expired plates put you out-of-service with fines; you must run trip permits until re-registered.
Form 2290 — Heavy Vehicle Use Tax (HVUT)
The IRS road-use tax on trucks with a taxable gross weight of 55,000 lb or more.

Owner of any highway vehicle ≥ 55,000 lb

Tax year Jul 1–Jun 30; due Aug 31 (or last day of month after first use)

STEP BY STEP
- Get an EIN (not an SSN) — it must be ~2 weeks old before you can file.
- Gather each truck’s VIN and taxable gross weight.
- Choose an IRS-authorized 2290 e-file provider.
- Complete Form 2290 and pay the tax (EFTPS, card, or direct debit).
- Receive your IRS stamped Schedule 1 — your proof of payment.
- Keep the stamped Schedule 1 — you need it to register IRP plates.
If you miss it: Penalty ~4.5% of tax per month (up to 5 months) plus interest; no plates without a stamped Schedule 1.
UCR — Unified Carrier Registration
An annual federal registration + fee for interstate carriers, brokers, freight forwarders and leasing companies.

Anyone operating CMVs in interstate commerce (+ brokers/FFs)

Opens ~Oct 1; due by Dec 31 for the coming year

STEP BY STEP
- Determine your fleet size (power units — matches your MCS-150).
- Go to the national UCR registration portal.
- Enter your USDOT/MC number — the system sets your fee bracket.
- Pay the fee.
- Save the receipt — roadside and audits check UCR status.
If you miss it: Fines at roadside or audit; several states will bar you from operating until you’re registered.
MCS-150 — Biennial USDOT Update
Keeps your USDOT registration current with FMCSA — company info, fleet size and mileage.

STEP BY STEP
- Have your USDOT number and PIN (request a PIN if needed).
- Log into the FMCSA portal and open the MCS-150 form.
- Update company info, power units, driver count and annual mileage.
- Submit and save the confirmation.
- Note your next required update month so you never lapse.
If you miss it: FMCSA can deactivate your USDOT number; a missed update is an acute/critical finding in an audit.
